Forrest Solutions is seeking a detail-oriented and service-driven Lead Office Services Associate to oversee Mail Services operations at one of our premier client sites. The ideal candidate will ensure the seamless flow of all incoming and outgoing mail, courier, and supply services, maintaining the highest standards of accuracy, timeliness, and customer satisfaction.
This is a hands-on leadership role-not managerial-but one that requires a proactive, organized, and client-focused professional who leads by example and supports a culture of white-glove service excellence.
Shift: 8:30am-5:30pm Payrate: $19-$21.90/hr. Essential Functions Mail and Package Management - Oversee and perform daily receipt, logging, and delivery of all incoming USPS mail, overnight packages, and newspapers to end users.
- Manage outgoing USPS mail, including Express, Certified, and Mass Mailings, ensuring proper preparation, postage, and delivery to the post office.
- Coordinate and track cost recovery and chargeback processes for all outgoing mail and courier services.
- Process and prepare outgoing overnight and pouch mail, ensuring accurate documentation, labeling, and timely courier pickup.
- Handle unidentified or misrouted mail, ensuring prompt resolution and accurate delivery.
- Maintain meticulous mail logs for incoming and outgoing correspondence in accordance with client protocols.
Messenger and Courier Services - Coordinate messenger deliveries and pickups, ensuring timely and professional service.
- Track and manage messenger-related cost recovery and maintain delivery accuracy.
Office Supplies and Inventory - Monitor and maintain office supply and paper inventories, ensuring stock levels meet daily business needs.
- Manage supply orders, restock areas, and perform regular inventory checks.
- Log and document all supply orders and deliveries in accordance with client policies.
Cross-Departmental Support - Assist other Office Services departments including Reprographics, Fleet Management, Imaging, Fax, and Hospitality as needed to maintain operational continuity.
- Collaborate with team members and site leadership to ensure smooth day-to-day operations and exceptional client satisfaction.
Qualifications - 3+ years of experience in Mail Services, Office Services, or related support functions in a corporate or professional environment.
- Demonstrated knowledge of USPS, FedEx, and other courier regulations and procedures.
- Strong organizational skills with excellent attention to detail and accuracy.
- Customer-focused mindset with outstanding interpersonal and communication skills.
- Ability to prioritize, multitask, and remain calm under pressure in a fast-paced setting.
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word) and mail/courier tracking systems.
- Physical ability to lift up to 50 pounds and stand or walk for extended periods.
